MyChapterRoom.com provides a secure place for chapter members
to communicate with one another and view important documentation
- think "chapter room." On a general website,
you would not be able to place bylaws, phone list information,
chapter dues, recruitment information for members, etc.,
because the information is of a sensitive nature. This way,
with 6 different levels of access, members can log on to
a secure area and rely on the website for communication
and information even after they have graduated.
What
can I include in the website?
Anything you want! Every chapter has different content
and much of it will be determined by the chapter representatives
who are in charge of the website. The subjects that are
the same for every chapter are:

kind of participation (time) is needed from each chapter
member for this to work?
Most chapters who are using the website ask their members
to log in at least once a day so it can be used as their
main mode of communication (no more ListServes!)
Other items may include; excuse submission (30 seconds),
signing of the bylaws acknowledgement form (30 seconds),
Teacher recommendation forms (optional) and Discussion forum
(optional-even though this is where most members spend their
time). Specific members of the chapter may have different
responsibilities in the website that may require a little
more time.
Does
this site really automate the entire positive incentive
process?
Yes. The entire process that once took your Standards
board hours to calculate will happen automatically with
MyChapterRoom.com. From event creation, to excuse
submission, to submission of attendance, to points calculation
and potential fines listings - its all there!!
How
will the advisory board benefit from a MyChapterRoom.com
Website?
As a rule, all active advisory board members are given administrative
access to their advising chapter website. This allows
them to keep a good pulse on the chapter; knowing what the
chapter is discussing on the forum, what events are coming
up, who hasn't paid their dues, what budgets are on track
and much more.
How
long will it take to get my chapter's website up and running?
I will provide you with the tools you need to get your website
started, however, your chapter is responsible for gathering
the information. The President will bear most of the responsibility
for the initial set up, but once the website is up and running,
maintenance will be seamless. Once your chapter gathers
the information, the completed website can be posted within
5 business days.
After
signing up, how will I be trained to use the website?
I have worked very hard to make the site as user friendly
as possible. I have also created a user manual with
screen shots of each link, tips and suggestions from other
chapters to assist you in getting your site up and running.
And of course, you have full access to me anytime you need
it.
Who
puts the information on the website?
All of this information is sent to me via email in
which I manage, maintain and post it on your chapters MyChapterRoom.com's
website. I would say that most of the chapter presidents
delegate the specific jobs to their Exec-board members.
Examples: Membership information either comes from the VP-Communication
or VP-Standards, Recruitment information comes from the VP-Recruitment,
Scholarship Information comes from the VP-Scholarship and so on.
What
can I expect from MyChapterRoom.com?
Your expectations of this site can be as high as you want
them to be. The boundaries are limitless. However, the benefits
that you reap will depend on your member participation and
daily use of the site. Your Executive Board must use the
site to communicate with the chapter effectively. It will
enable advisors to stay in tune with the pulse of the chapter
even if they are unable to attend events.
What
does the $1.60 per member/per month pay for?
I maintain and customize each website around your chapter's
specific needs. After seeing the benefits of a password
protected website, each chapter fully utilizes all of its
features and usually thinks of some great additions.
Normally, the bigger the chapter, the more information needs
to be posted or maintained.
In addition, through the many suggestions and comments I
receive from my chapters, I upgrade the site to keep up
with technology, trends and chapter needs, at least once
a year.
Will
it be used or just become extinct in the future?
With technology as it is today, the Internet has become
the avenue in which most businesses communicate with one
another. Over the years many chapters have moved from
just a phone list with school phone numbers to a list that
has cell phone numbers and IM listings. From no laptops
required in school to every student required to purchase
one. From waiting on line for school registration
to on-line registration...I am dedicated in keeping up with
future technology and trends. My hope is to create
a platform where chapters can communicate progressively
and benefit from that experience.
